Security Vetting

Dear Applicant

All SMS employees and self employed couriers must be vetted/screened before commencing employment or commencing 'contracting for services', respectively.

Why do SMS vet?
There are several compelling business reasons for implementing a stringent vetting policy throughout the company. These are:

  • Vetting is a contractual requirement for a number of key clients
  • Vetting is a 'unique selling point' and helps seek/seal new contracts
  • Prevents illegal immigrants working for the organisation
  • Prevention of fraud
  • Security and ensuring post is delivered by reputable and reliable personnel

How will the vetting process be carried out?
Below is a list of all the pieces of documentation required to gain 'full vet status'.
To successfully pass the stringent vetting process all individuals must provide the required original documentation.

You must complete a 'Self Employed Courier Approved Supplier Form' which is available from the branch to which you are applying. Please pay special attention to the 5 years of trackable work/education history section.

Applicants are also required to apply for and provide the original receipt for a 'Basic Disclosure', through Disclosure Scotland. The web link is as below:

This check provides details on unspent criminal convictions. The cost of the application is approx £20.00.

The vetting process also includes a number of database checks, checks with Credit Agencies and government bodies. These checks may leave a record and may be used by others for the same purpose.

Periodic Checks and Audits
All files will be regularly audited by internal and external auditors. A comprehensive log will be kept of relevant expiry dates including the following:

Passport Expiry Date
Visa/Work Permit Expiry Date
Driving Licence (international only)

Checks will also be made to ensure a full Scottish Disclosure report has been received and returned to the relevant HR team within 3 months of application. If it is not returned within 3 months, the 'Contract for Services' may be terminated.


Check list of Original documents you will need to provide:

1. Proof of National Insurance Number

Can be one of the following:
P45
P60
National Insurance Card
Letter from Inland Revenue

2. Proof of current Address

Can be one of the following:
Utility Bills (gas, water, electric)
Council Tax Bill
Bank Statements
Credit Card Statement

All documents must be originals and less than three months old. Mobile Phone Bills and Inland Revenue Slips are not acceptable.

3. Proof of Eligibility to work in the UK

Please refer to the Vetting Guide for a full list of the EU countries.
For UK/EU Citizens only:
Original valid Passport and/or original long Birth Certificate (short Birth Certificates are not acceptable).

For Non UK/EU Citizens:
Original valid Passport and confirmation of your eligibility to work in the UK. Can be:
- A valid Visa or Work Permit
- A original letter from the Home Office

4. 2 x Passport style photographs

For file and ID badge production.
Photo must have the persons name clearly printed on the reverse.

5. Business References

Business references must be supplied for a full 3 year period from date of application. We must have a minimum of 2 references. If these do not cover a 3 year period we will need additional references. References will be verified by the Vetting Team.

6. Character Reference

Ensure that all details for the 1 x character referee is supplied on the completed Approved Supplier Form. If possible, an actual original reference can be supplied. This must be the original and will be verified by the Vetting Team.

The Referee must have known the applicant for at least 10 years, otherwise 2 character references will be required from people who have known the Applicant for a total of 10 years.

7. Self Employed Courier Approved Supplier Form

All applicants must complete an Approved Supplier Form (available from the branch). A complete 5 year work or education history must be supplied and gaps in work history must be explained.

8. Receipt for a 'Basic Disclosure' through www.disclosurescotland.co.uk website

This will cost £20.00
A full certificate/report will be forwarded to the individual's home address and the original must be forward to HR within 3 months of commencement or application.

PLEASE FORWARD ALL ORIGINALS AND COMPLETED DOCUMENTATION TO THE RELEVANT MANAGER WHO WILL ENSURE THE PROCESS CONTINUES.

Additional checks will also be required including a Criminal Records Check.

Driver Courier Applicants only

Driving Licence - Full UK/EU driving licence required

Those who have an International Driving Licence can only drive in the UK for 1 year from the date of entry into the UK.

Vehicle MOT - if the vehicle is more than 3 years old you will need to provide the original and valid MOT certificate.

Vehicle Insurance - you must provide the original and valid Certificate of insurance for the vehicle to be used. No copies are acceptable.

Please note that any errors or missing documents may cause the application/vetting process to be delayed.
